The intranet is for members of the ELIXIR infrastructure and its governing bodies, as well as people collaborating with ELIXIR.
What's the intranet for?
- To share information with your group. If you are part of an ELIXIR group like a Work Package or Committee then you have your own group pages where you can share documents, tasks and other information with other members of your group. This means all the information about that group will be referenced in one place.
- To find out about other groups. You can browse the other groups within ELIXIR and look at profiles of their members.
- To find experts. If you are looking for someone with a particular scientific, technical or professional expertise across ELIXIR, then you can browse members by their skill sets. To enable this, we encourage everyone to fill in their user profiles.
- To guide the ELIXIR training strategy. When you edit your user profile you will find a box called 'Skills desired', where you can say what knowledge or skills you'd like to improve. This field is private and not shown to anyone but you. The information from it is aggregated with what other people have said and sent to the ELIXIR training coordinators. The coordinators can then adjust training courses according to demand.
How do you use it?
- Register. Go to the registration page and click the 'Register' button. You will need to agree to share some basic information about yourself with us. This is just to enable us to allow you to log in with a third party account.
- Log in. You will receive an email to say your registration has been successful, and with a link to log in.
- Fill in your profile information. Your profile page is your home page, and you can click the 'Edit' tab to add details about yourself. This makes the intranet more useful to everyone. You can also check a box to sign up for email alerts to notify you when content in your groups has been changed. Please don't forget to add your 'Skills desired', which will help the ELIXIR Training Coordinators.
- Add content to your groups. Your profile page lists the groups you are a member of, as well as the latest content from those groups. You can now add documents, tasks, and events to your groups.
- Browse people and groups. Discover who people are and what's happening around ELIXIR!
Adding documents
The intranet is not meant to be a document or task management application like RedMine, Basecamp or Asana. It is more of a reference point for information. For this reason, we encourage people to put links to online documents they have elsewhere (like Google Docs) rather than upload the documents themselves.
You can use the 'Add a link to an online document or web page' field to link to Google docs, Github pages, YouTube videos as well as the document repositories mentioned below. Don't forget you can link to an entire online directory, too. You don't have to link to documents individually.
For completed documents, like final reports, please use a service that can generate a Digital Object Identifier (DOI) (a kind of permalink) for your documents. Zenodo is free, you can sign in with a GitHub or ORCID account, and each document is given a DOI. You can also create community collections. Note that documents uploaded to Zenodo are not peer-reviewed.

Visibility
When you create content you can choose from three visibility options:
- Public. Any documents and events given this status will be moderated, and once approved will appear on the public website. They will appear in the Events and Documents sections. Tasks do not appear on the menu system of the public site so will be less visible.
- Intranet only. Documents and events will not appear in the public webpages. Other people on the intranet will be able to see them, though, even if those people are not part of your group. Please use this option unless the content is confidential.
- Private. Only members of your group or its child groups will be able to see this content. If other people browse the content of your group then this content will not be visible to them.
Inheritance and confidentiality
If you are a member of a child group then you automatically become a member of the parent groups. So if you are a member of EXCELERATE WP4 group, which is under the Compute Platform, then you automatically become a member of the Compute Platform group. Group membership does not inherit downwards, though. If you are only a member of a parent group (e.g. the Compute Platform), then you are not automatically a member of child groups.
Please bear this inheritance in mind when thinking of confidentiality. If you mark your content as private then it will be visible to people in child groups, too. For confidential work it is better to work in a group that has no child groups. In that way only those explicitly invited to the group will be able to see the private content, not those who are members because of upwards inheritance.
FAQs
I registered with my Gmail address but I'd rather use another email - how do I change it?
Go here: https://perun.elixir-czech.cz/profile/ and click the 'Change' button next to your email address. You will get a verification email, to make sure you really do have the email address, and you just need to click on the link in the email to confirm that you own the email address. Note: your email address is not shown on the intranet, but is used behind the scenes by the form people use to contact you.
Are there email alerts to tell me when new content has been added to my groups?
Yes. Click the 'Edit' tab on your user profile page. If you scroll down you'll see a checkbox called 'Subscribe to email alerts'. Check this and save. When you or anyone else creates new content (a document, event or task) you will find a checkbox called 'Send an email'. Check this and email subscribers will get an email telling them that content has been added. By default it is unchecked, so people won't receive emails every time a minor change to content is made.
What if I want to be a member of another group?
Some groups are more open to new members than others. Some groups may have a 'Join this group' button. If not, contact the chair of the group (shown on the group's home page) or email webmaster@elixir-europe.org.
What if I want a new group?
If you want to create a child group for your group, then contact the group's chair or group champion, or email webmaster@elixir-europe.org. If you want a completely new group, then email webmaster@elixir-europe.org.
Can I add or remove people from one of my groups?
Yes. Your group chair or group champion should be able to do this. Otherwise we can do it for you, if the group chair agrees. Email webmaster@elixir-europe.org.
